Recording hours

Log who worked and for how long, so tips are shared fairly.

Why hours matter

Shares are based on the hours people worked, so accurate hours mean fair shares. When you share out tips for a period, only the hours worked in that period count.

Log a shift

  1. Open the venue and find Hours.
  2. Choose the worker.
  3. Pick the date they worked.
  4. Enter the hours in quarter hours. For example, 7 hours 45 minutes is 7.75.
  5. Press Add shift.

You can add more than one shift for the same person on the same day, up to 24 hours in total.

Keep hours accurate

  • Copy hours from your rota or clocking-in system at least once a week, while it's fresh.
  • Log hours for everyone who shares in tips, including agency workers.
  • Log a leaver's last hours before you untick Currently working here. If you miss some, pick them under Former staff when you add a shift, for 3 months after their last logged shift, or import them from a spreadsheet.
  • Decide whether breaks count, say so in your policy, and do the same for everyone.
  • Check the list before you share out tips. Missing hours mean someone gets less than they should.

Fix a mistake

Delete the wrong shift and add it again. Once a date is inside a published allocation, Fairpool locks hours on that date so they always match the allocation.
