Importing your team and hours from a spreadsheet

Add a whole team, or a week of hours, from a CSV file instead of typing them in one by one.

What you can import

On a venue's page, under Team or Hours, choose Import from a spreadsheet. You can import workers, or the hours they worked. A CSV is a simple spreadsheet file: in Excel or Google Sheets, use Save as or Download and pick CSV.

  • Workers: a name column, and optionally role, weight (the role weight, 1 if left blank) and employment_type (employee or agency).
  • Hours: worker, date and hours columns. Dates can be written 05/10/2026 or 2026-10-05. Hours can be 7.5 or 7:30.

Good to know: Download the template on the import page to get the right columns. The hours template already lists your team, so you only fill in dates and hours. Rows you leave without a date or hours are skipped.

Check, then import

  1. Choose the file, or paste its contents into the box.
  2. Press Check file. Fairpool checks every row and shows you what it will import. Nothing is saved yet.
  3. If any row has a problem, it's listed by its row number in your spreadsheet. Fix it in the box or in your spreadsheet, then check again.
  4. When every row is fine, press Import.

Fairpool imports the whole file or none of it, so you never end up with half a team or half a week of hours. You can import up to 500 rows at a time.

Common problems

  • Already on the team: someone in the file has the same name as a worker you already have, so uploading the same file twice can't add people twice. If it really is a different person, add them by hand on the venue page.
  • Two people with the same name: for hours, put the worker's reference in a worker_ref column. You'll find it in the hours template and the payroll CSV.
  • Locked dates: hours can't be added to dates inside a published allocation, so they always match it.
  • Over 24 hours: a worker can't have more than 24 hours on one day, counting hours already recorded and every row in the file.
